Hiring a construction crew: how to brief a recruitment agency

“We need builders” leaves too many questions unanswered. An agency needs to understand the work, not just the number of people. A clear brief helps you assess candidates consistently and agree the arrangements before they arrive on site.

Hiring a construction crew: how to brief a recruitment agency

Start with the work on site

Describe the site and project stage. Frame assembly, concrete work, finishing and defect correction need different experience. Name the operations, materials and equipment instead of relying on a broad job title.

For a finishing specialist, explain the surfaces, finish and need to read drawings. For a crew, identify who assigns tasks and accepts the result. An independent tradesperson is not automatically a crew supervisor.

  • Site type, address and access requirements.
  • Project stage and specific operations.
  • Materials, tools and equipment.
  • Person responsible for assignments and acceptance.

Separate requirements from preferences

Mandatory requirements should match the work. Name any required certificate and how it will be checked. Explain why a language is needed: instructions, briefings or client conversations.

Identify skills needed from the first day and those that can be taught on site. Experience with a particular tool may be more relevant than a general number of years in the trade.

  • Role and level of independence.
  • Required skills, documents and qualifications.
  • Working language and communication situations.
  • Additional experience that would be an advantage.

Confirm scheduling and site arrangements

Give the preferred start date, expected project duration and working hours. Say whether the entire crew must start together or whether people can join in stages.

Discuss accommodation, travel, workwear, tools and transport between accommodation and the site. Allocate responsibility for each item. Access and induction should be ready before the first shift.

Compare equivalent proposals

Compare the same scope: roles, coordination, included costs and separately charged expenses. An hourly rate alone does not describe the full service.

Ask about relevant candidate experience: sites, independently completed tasks and tools used. Agree assessment criteria, the decision-maker and feedback process. Discuss recruitment timing for your specific brief; availability and requirements affect it.

Checklist before sending the brief

  • Tasks and expected result are clear.
  • Roles and team size are specified.
  • Requirements and preferences are separated.
  • Schedule, start and project duration are discussed.
  • Accommodation, travel, tools and access responsibilities are allocated.
  • A decision-maker is named.

Mark anything that is still undecided. A short description of the site and work is enough to start a useful discussion; missing details can be clarified with the recruiter.
